Event organising does sound a daunting task but it is in fact quite simple.
Firstly you will need to make a list of every job that needs doing.
The most important job is to find a venue and then the rest should fall into place. The choice of venue will depend on whether you are organising an event that will take place indoors or outdoors.
Event organising is all about obtaining at least three quotes for a venue and then at least three quotes for the discotheque or band, caterers, decorations, wine and spirits etc.
Once your quotes are in you will need to choose and this choice does not always mean that you will go for the cheapest. Try and strike a balance and if you have to spend a little more on a good discotheque you may be able to spend less on decorations expecially if the venue is smart and does not warrant them.
Event organising is much easier if you are a private person organising your own or a family party. If you are working with a committee then the task is harder. It is impossible to please everyone so do not even try.
Event organising can be successful using many different formulas and the only golden rules are to keep it simple and make a note of everything you say and do as you go along.
The advantages of doing this are twofold. Firstly it avoids muddles and you can refer to your notes if a committee memeber does not carry out instructions correctly.
Secondly by keeping notes you will find that you are half way to organisng the event again if needs be.
It is also useful to write a report a short time after the event has taken place. Whilst everyhting is still fresh in your memory. This event organising tip is especially useful if you are a committee member organising an annual fixture.
Event organising can take a lot of time and effort but if you keep good notes and write a report you will find that the following year the time will be cut by half once you have read your notes.
I organised a teenagers party for many years. The first year did take time but after that all I had to do was refer to my notes and then make a few minor changes and the job was done.
